We have allocated a specified amount to be spent on team building activities every quarter. Being an HR Manager, I am supposed to give broad guidelines to the Project Managers on how to use such amount for their team. Please help in framing such guidelines. You may note that we want that amount to be utilized in some meaningful activity and not going out only for lunch, movies etc. Priyanka

Hi Priyanka,
The budgets could be used for the following:
1. Team Gifts for excellent performance - This is very relevant in deadline oriented jobs. When the team members pitch in and help the team finish the job, all the team members could be awarded - based on their contribution.
2. Team Interventions - This could be when the team is having certain issues and you would want a neutral facilitator to sort this out. The money can be used for organising these events and follow ups.

The odd ones from me - just read between the lines, if you have difficulties:
More precious and usful resource to budget is the time.
1. Time for listening the team members before and after the office hours.
2. Time to occasionally go for lunch and coffee with different team member and to listen.
3. Time to interact with family members of the team in a civilized manner outside office space or functions - say in shopping malls, sports meet, etc.
4. Time to spend time with own family team - that's the source of inspiration and energy for everybody.
Less precious is the Money:
1. Provide them the comfort and dignity while working, travelling and moving around. Be vigilant but caring while passing the bills. get the required infrastructure and working conveniences.
2. Take care of the medical issues - sick people to be sent back with an escort by company vehicle and to be followed up absolutely. Family to be informed diplomatically and postpone things to take care of such emergency.
3. Celebrate the successes of team members and of their family members as well - on company budget.
4. Have a complete dossier of Hobbies and interests of your team and your higher-ups. Use the occasions to mix the job with interests. Let the young Guy with cricket as passion is peferred to get a trip to a city where Tendulkar or Pathan is have his one-day match.
5. Show compassion to the gender issues and their unique problems of meeting and getting married or remarried. Learn the difficult moods and its swings. Keep the tempo as per the mood. Decorate the office and premises on occasions - get housekeeping budget for that. It is the meeting place for many partners.
Well, let me keep other issues to others.
