We would like to implement a system to get employee's suggestions for the company and present / future processes. Could you recommend what kind of a system we can implement, especially other than a suggestion box.

If you have such kind of a system, could you share the feedbacks of it, its problems, advantages and disadvantages.

In our company there are boards in production area and in office area. If an employee has suggestion, he writes his suggestion on a standard form and put it on the board. The form constitutes 3 piece of paper with different colors. Everyday suggestions are taking from these boards by HR Specialist and than tasked to concerned department's manager(the yellow copy of the form). The concerned department manager evaluate suggestions and he resend the suggestion form to put on boards. The white copy remains at HR department and data entries are made.By this way HR Specialist could follow up the status.The system process is more complex than described above. The only disadvantage in our firm is that there are too suggestions that concern department managers doesn't have a time to answer all . The system is failed in our company at least. Maybe you may try it in your organization.

Often times it's wise to use a third party software/systems provider to collect feedback anonymously from staff members. The use of a third party system will provide better assurance that the information provided is protected and confidential. Such systems help in facilitating honest communication between staff and management by easing identity concerns of employees. What I have found is that key ingredients are:

1) Trust

2) Fairness of results and recognition/awards

3) Timeliness

4) Involving the submitter whenever possible

5) Finding quick ways to handle the smaller intangible ideas.

6) Communication - here is where going on-line helps. This is something we can help with - in our case either hosting for you or you run it on intranet. You can also create your own on-line system yet this can be challenging as it can take considerable resources and often the internal developers don't clearly understand suggestion systems so you must very clearly define what you need.
