Hi friends, i work in a very organisation which is very open in its operations with the employees. its a 15 yr old company where there was no HR department. i took the charge of this dept 6 months back and streamlined a lot of things. right from starting the PMS and set up of the kra's. our office timings are from 10-6.30. we dont have a punch card in the office so i see a lot of employees coming after 10.30 and start work by 11. because of that all the customers who call up at 9.30 for various things get angry since they receive a reply v late. my managemant is against a punch card system and asked me to come up with an alternative system. i stared a system wherein the employees have to be in off by 10 or latset by 10.15 or else the admin person marks them late for the day. for a few days it was ok but now people have started sending sms to him saying that trains are late and xyz so i'll b little late pls dnt mark me late etc etc.. but if he does it once people repeat it agin and again.. help me with a system in which i can take care of the punctuality of the employees without any issues. Hello Pooja,
Many organization's hr department face this problem.And if any type of strict rules applied on employees than m8 b several hurdles ll arise,like lockouts,lay offs,or union strikes n bla bla,a very simple solution for this,vch can be acceptable for both parties,i.e. Mgmt and the employees.
1.Just do a announcement or conduct a orientation program,in vch,introduce a new hr policy,i.e. Proper step-in timing for office is 10am n who else ll b regular of this follow-up ll be entertained in terms of money,extra leave,bonus.
2.or if all employees ll accept it regularly than a get-together,party ll b held in every 2 months.
3.or if anybody is nt regular dan next working day he/she ll have 2 do OT(Over time)say-half n hour.
Threats should also b added with good opportunities.

Hi,
More u can adopt,is just deduct salary for the present month,n further ll be carry forward for the next month.
Or,juz delay the salary distribution,say for,1 week.
Try n let me know how mch it works.

Hi Pooja,
You are actually changing the culture of the organisation. You are putting a system in place which was not there since last 15 Yrs. So its a change to the employees(Change Management). Being a change it requires patience. You and your management has to wait for some time.
There are couple of ways which can help you to put the system in place. One of them is as below
Take your management in confidence and execute one week exercise.
- First day SHOOT A STINKER to all employees regarding their irregular in and/or out time. (MAIL) - Second day INFORM them the LOSSES occurred due to their irregularities. (MAIL) - Third day APPRECIATE REGULAR employees. - Fourth day inform them, since last 2 days lot of employees are becoming regular, again APPRECIATE ALL REGULAR EMPLOYEES. - Fifth day, you along with your senior management stand at the entry gate of your organisation after 10:30 am and WELCOME ALL LATE COMMERS with flower (Probably Rose). Request all these late commers to appriciate value of time and come on time.
Please REMEMBER this is a change. One of the charactaristic of changeis it wont happen overnight (In this case overweek).

Dear friends,
Every organisation should have basically service rules or standing orders or hr policies regarding such issues. If not, Hr has to frame such polices both in the interest of Organisation and employee. Generally, late coming would be permitted 2 or 3 occasions in a monnh and if any employee take it granted and habitually coming late would be counseled and explained the consequences of his late coming such as inconvenice to customers, failed to complete the work targets intime etc. Such policies should be framed and implemented so that there will be clear understanding on the issue and any one disobeying or misusing repeated should be dealt with harshly.
